Coordinator, Vendor Programs

The Corporate Services department provides centralized services to Definity in the areas of administration, food services, travel and fleet management, mail and supply services, print services, property real estate and lease management services, space and construction project management, and facility operations. 

The Coordinator, Vendor Programs administers all aspects of the outsourced services for corporate travel, corporate fleet, and food services. The incumbent is the first point of contact for outsourced vendors and internal customers for these services and is responsible for ensuring all vendors meet or exceed service level standards outlined in their contracts. 

What can you expect in this role?

  • Monitoring vendor performance and making recommendations to improve customer satisfaction, operational efficiencies, and the overall customer experience. Providing direction and feedback to vendors on services.
  • Pulling reports from vendor sites, analyzing and preparing performance data, making recommendations, providing direction to vendors and incorporating data into monthly metrics reporting for management review.
  • Effectively manage costs associated with the programs and develop/maintain partnerships with vendor.
  • Provide budget information for departments for their fleet expenses, and travel budget guidelines. Effectively manage costs associated with the programs and provide explanations for any variances.
  • Support of annual taxable benefit program for all fleet drivers.
  • Facilitate governance meetings according to established timelines with vendors. This includes the scheduling, facilitating meeting, taking minutes and distributing the minutes to participants as well as proactively following up regularly on any outstanding action items. 
  • When the services are up for tender, the incumbent actively participates in the RFP process.
  • Reconcile the monthly invoices for corporate travel, corporate fleet, and food services.

What do you bring to the role?

  • College diploma, with ideally 3 years’ experience in an administrative role or vendor relation experience
  • Experience in either travel management or fleet management is preferred
  • Intermediate technical skills, ability to navigate and pull reports from various vendor sites, and strong Microsoft Office skills
  • Ability to analyze data and make recommendations based on findings
  • Works independently and effectively in a fast-paced environment
  • Professional, friendly, and courteous in all interactions with internal and external customers and vendors
  • Excellent communication skills, both written and verbal with excellent attention to detail
  • Strong interpersonal and organizational skills
  • Occasional travel to vendor sites
  • This role requires successful clearance of a background check, including credit and criminal checks along with business references

 

High degree of proficiency with English is required to service customers, both internal to the company and external, across Canada. 

 

Salary Range: $43,700 - $80,500

Actual salary for the role may vary depending on work location of the successful candidate and other factors including but not limited to, skills, education, experience, working conditions and the local labour market.  In addition to base pay, eligible employees may participate in various incentive plans which are paid out at the discretion of the company and subject to individual and company performance.
