YOUR NEXT CO-OP PLACEMENT 

Work term: Winter (January 9, 2023)

Work term length: 4-month 

The Corporate Services department provides centralized services to Definity in the areas of administration, travel and fleet management, reception, mail & supply services, food services, print services, property real estate and lease management services, space and construction project management, and facility operations.  

Reporting to the Team Lead, Corporate Services, the Administrative Assistant is responsible for the provision of administrative support, data entry, report preparation and other associated administrative duties as described.  This job handles sensitive/confidential information. The Administrative Assistant provides administrative support to the Vendor Management team within Corporate Services. 

What you’ll be doing-  

  • Proficiently use Microsoft Word and Excel to capture and update metrics and standard operating procedures. 

  • Pull monthly reports from vendor sites and save them internally. 

  • Assist Coordinator, Vendor Program with various tasks for Fleet, Travel Management and Food Services. 

  • Assist Analyst, Transactional Documents with various tasks for Policy Print, Marketing Print, Office Supplies, and Envelopes. 

  • Reconcile the monthly invoices for Corporate Travel, Corporate Fleet and Food Services and send them for approval. 

  • Facilitate frequent touchpoints with vendors. 

  • Communicate changes, updates, and issues with vendors as needed. 

  • Assign and complete tasks within Service Now for Vendor Management team.  

What you bring -  

  • Completion of high school diploma and 3+ years of experience in an administrative role or enrolled in an Administrative program in a post-secondary setting. 

  • Professional, friendly, and courteous in all interactions with internal and external customers and vendors.                                                                                    

  • Excellent communication skills, both written and verbal with excellent attention to detail and strong interpersonal and organizational skills                                                                                 

  • Team player with the ability to remain calm under pressure and perform well in a busy and changing environment                                                                             

  • Highly motivated and works independently and effectively in a fast-paced environment with the ability to multi-task and prioritize accountabilities to meet deadlines.                                                              

  • Enhanced skills and knowledge and highly proficient in Microsoft Office products.
